Xerox announce new SME DocuShare document storage software October 20, 2008

Very competitively priced at £1,100 for 10 Users, Xerox has announced its DocuShare software. Able to store imaged documents as well as office documents, this software overcomes major problems for smaller companies who cannot afford the costs of major corporate systems.

With simple workflow capabilities and scanning abilities, DocuShare is likely to be successful helping SME organisations manage important paperwork and get rid of nuisance and inefficient file archives.

Fully integrated with EIP (Extensible Interface Platform), users can touh a button on Xerox’s EIP enabled copiers and the copy will go straight to archive. Powerful stuff!

Automating your Accounts Payable processes through the use of imaging and workflow software can bring a set of benefits that enables finance departments to reduce and contain costs whilst improving overall process efficiency and reliability.

For this, you’ll need a scanning device, imaging software, electronic archival and retrieval system and business process management or workflow software.

The notion is essentially that incoming invoices are imaged and OCR read. From the OCR reading, it should be possible to pick up data that indicates who the supplier is and thus how the document needs to be routed.

Once the document has been identified, the workflow is then able to route documents into the work queue of the person who should be processing the document. Once the document has been processed, that process step can be ticked off and then handed off to a query and / or authorisation process.

If you try to ensure that the archive and retrieval is records management standards compliant, this archive can serve as a ‘legal’ archive so that once a document is archived, the paper can be destroyed (you may want to time manage this).
